What Drives The Price

Operator or no operator
The biggest variable. Self-managed hire = hardware only. Managed hire = hardware + our team at your venue for the full event. The human expertise costs more but eliminates every operational risk.

Standard library or custom content
Standard game library is included at no extra charge. Custom APK loading, branded splash screens or content lock configuration adds pre-event setup time reflected in managed package quotes.

Volume and duration
Hiring 2 headsets and 15 headsets have very different management requirements at the event. Longer events and larger headset counts get dedicated pricing that reflects the actual operational requirements.

Why do you publish prices when competitors don't?
After 50,000+ VR sessions we know that clients who check budget fit before enquiring make better use of everyone’s time. Forcing a quote request to see any number wastes time for both parties when the budget is a mismatch. Our base rates are real — final quotes adjust for volume, travel and custom content, but these numbers tell you where to start.
Are there hidden costs I should know about?
No. Melbourne delivery is included in managed packages. Standard game library loading is included. Headset hygiene covers are included. The common add-ons are: custom app loading for proprietary VR applications; display screens for audience viewing; and interstate travel for events outside Melbourne. All quoted upfront before you confirm.
Do I need to pay a deposit?
Yes. We require a 50% deposit to confirm your booking date and headset allocation. The balance is due 7 days before your event. For events booked less than 7 days before the date, full payment is required at booking.
What happens if equipment is damaged during our hire?
We include a standard damage waiver in all managed hire packages. For self-managed hire, a refundable damage bond applies based on the number of headsets hired. We inspect all equipment before dispatch and on return and will advise you if any damage has occurred.
Do rates differ for Melbourne vs interstate events?
Base hire rates are the same nationally. The difference for interstate events is a travel and accommodation component added to the quote for on-site managed events. Self-managed hire shipped interstate incurs courier costs. We quote all of this transparently before you confirm.
