What VR Hire Actually Means — Three Models Explained
When most people search for VR hire, they picture one thing. The reality of how different providers deliver it varies enormously.
Model 1
Postal Hire
Headsets arrive in a courier box 1–2 days before your event. You set up, manage and post back. Cheapest option. Right for tech-confident teams with small groups.

Managed Hire
A company dispatches equipment and sends operators to your venue. You do nothing technical. This is the most reliable option for corporate events and schools.

How Many Headsets Do You Actually Need?
This surprises most clients: you need fewer than you think. The limiting factor is not headsets — it is session time.
★ The formula we use
Take your guest count, divide by hours of event, multiply by session length in minutes. For 100 guests over 4 hours with 5-minute sessions: 100 ÷ 4 = 25/hr. 25 × (5/60) = 2.1. So 3 headsets minimum, 4–5 with buffer.
★ The sweet spot from experience
Events with 4–6 headsets and a dedicated operator create the best guest experience. More headsets with no flow management creates chaos. Fewer with good flow creates anticipation and excitement.
★ For a 100-person Christmas party (3hrs)
6 headsets running 5-minute sessions continuously = 216 guests cycled through. With a 15% briefing and changeover buffer = 183 guests. More than enough for 100 people in 3 hours.
★ For trade shows and conferences
8–10 headsets for continuous throughput throughout the day. A person in a headset creates a queue — manage that queue and you capture leads continuously. We recommend 2 operators for 8+ headsets.
★ For school incursions (class of 30)
4–6 headsets with a trained facilitator. Groups of 4–6 use headsets in rotation while the facilitator runs a discussion activity with the remaining students. 45–90 minute sessions work well.
★ For birthday parties (15–25 guests)
2–4 headsets is sufficient. With 3 headsets running 7-minute sessions, 25 guests cycle through in under 60 minutes. Add a racing simulator for variety and the event runs itself with one operator.

Do they publish prices?
If not, a quote request may reveal budget mismatch after significant time. Apsis VR is currently the only Australian VR hire company with published rates.

Depending on the event, at times you might require onsite support not to operate headsets but to provide a highly engaging VR experience.

How much operational experience?
A company that bought headsets in 2024 has a very different understanding of event management than one that has run 50,000+ VR sessions since 2020.

Can they load your custom app?
Many hire companies load standard games. Far fewer can install a custom Unity APK, test it on each headset individually and confirm it works before dispatch.

What’s their hygiene protocol?
VR headsets go on many heads. Single-use disposable covers replaced between every guest is the minimum standard. Ask before booking any managed event.

Is VR hire worth it for a corporate event?
From 50,000+ VR sessions across events of every size and type: yes, when it is run well. The single biggest factor is session management — VR with a dedicated operator who keeps flow moving and handles nervous first-timers creates a standout event. VR left to guests to manage themselves often loses energy after the first 30 minutes. Book managed hire if budget allows — the operational difference is significant.
What VR experiences work best at events?
From our event history, the three consistent winners are: racing games with a leaderboard (competitive, visual, any age); Beat Saber and rhythm games (immediately understandable, instantly fun); and Richie’s Plank Experience (universally anxiety-inducing in the best possible way). These three work for every corporate demographic we have run them for.
Can VR make people motion sick?
Roughly 10–15% of first-time users experience mild, short-lived motion sensitivity. Main causes: sessions over 10 minutes, joystick locomotion games (teleport is far better tolerated), and frame rates below 72fps (our hardware maintains 90–120fps). We brief every guest before their session and watch for discomfort — if someone feels unwell we end the session immediately.
What is the difference between VR hire and a VR experience venue?
Venue hire means booking time at a fixed location — you travel to the provider. Equipment hire means we come to you. The venue is better for groups under 20 who want a full multi-experience session. Equipment hire is better for events of 20+ guests where you want VR integrated into an existing event at your venue.
How far in advance do I need to book VR hire?
For larger corporate events (50+ guests) we recommend 3–4 weeks. For smaller activations, 1–2 weeks is usually sufficient. Melbourne’s corporate Christmas party season (November–December) and the F1 Grand Prix period (March) book out quickly — contact us as early as possible for events in these windows.
